Outline of the Position:

 

The Head of Hong Kong Branch Operations is responsible for overseeing the logistics, IT/SECU team, and facility management administration within the COO's Hong Kong office organization. This role requires the incumbent to remain informed about projects impacting the Hong Kong branch and to provide assistance as necessary. The Head of Hong Kong Branch Operations also reports on these functions to the Chief of Staff, Asia Chief Operating Office.

 

Key Responsibilities

  • Oversee IT services (infrastructure, cybersecurity, digital initiatives) in compliance with regulatory requirements.
  • Manage and forecast IT and Facilities Management budgets.
  • Analyze, escalate, and report IT incidents as necessary.
  • Oversee and manage strategic and regulatory project development and delivery within allocated budgets.
  • Coordinate with Asia and Head Office stakeholders on strategic initiatives and escalated issues.
  • Monitor SLAs and service provider performance.
  • Manage outsourcing contracts within Head Office guidelines, including but not limited to Azqore and CACIB.
  • Enhance functional and economic efficiency by optimizing organization and resources while limiting operational risks.
  • Implement process automation to improve client service quality and team productivity.
  • Ensure procedures are implemented and regularly adjusted to meet organizational needs.
  • Provide information to Statutory Auditors.
  • Ensure compliance of processes and procedures with regulations and bank controls.
  • Responsible for bank premises and facilities logistics.
  • Prepare reports and maintain an updated DCOO dashboard.
  • Monitor staff performance and conduct annual appraisals and interviews.

  • Adhere to internal processes, directives, and regulations.
  • Ensure all permanent controls within the activity area are correctly executed.
  • Identify and manage compliance risks within the scope of responsibility.
  • Identify dysfunctions and raise alerts following standard processes.
  • Participate actively in relevant committees and meetings.
  • Proactively escalate issues to management as appropriate.
